Job Description - CUSTOMER SERVICE REPRESENTATIVE

The position of Customer Service Representative includes, without limiting itself to, the following activities:

 

  1. Customer and Prospect Inquiries:
  2. Order Processing:
  3. Order Administration:

- Answering Customers’ and prospects’ phone calls promptly, providing courteous, fast and efficient service;

- Supplying technical and commercial information regarding the products and services provided by ITC;

- Referring prospects to ITC Distributors;

- Preparing and updating quotes where required;

- Sending by mail, Fax or e-mail, product information when requested;

- Assisting Customers and Prospects in navigating through ITC’s Web Site;

- Preparing, or assisting with preparation of literature and samples packages to be sent – upon request - to prospects or Customers;

- Recording all inquiries (*) in the respective Customer’s or Prospect’s file;

- Requesting credit information, verifying the same and creating New Customers’ folders and files;

- Co-operating with the other staff of ITC, especially with outside sales personnel, in view of promoting sales.

- Providing information about pricing, availability, terms and conditions of sale, etc…;

- Receiving, verifying, registering, editing if needed, compiling according to due form, and entering Customers’ orders;

- Compiling or updating backorders lists, to be supplied daily to Purchasing / Expediting;

- Informing Customers in a proactive manner about expected deliveries, delays or eventual problems occurring with backorders;

- Preparing, or assisting with preparation of sales reports, product reports, collection reports and any other internal document (*) required for processing of Customers’ orders;

- Assisting with credit collection in case of late or delinquent accounts;

- If required, assisting with checking, packaging, shipping Customers’ orders, and using due diligence to ensure Customer satisfaction under any circumstance.

- Assisting, when required, with the administration of Customers’ Orders Processing: (copying, recording and filing (*) documents, correspondence and other information related to Customers’ orders, including but not limited to purchase orders, letters memos and faxes, general information, credit information).

- Making sure that appropriate information or documentation about processed orders, including packing slips, proof of receiving, proof of payment, shipping and tracking numbers, etc.., are properly recorded (*), filed, and - when required - transmitted to the Customer.

       d) Other duties

- Assisting with sales, marketing and promotional activities when required, including for example: preparing samples and displays for Customers or Distributors; preparing Trade Show materials; preparing, revising, assembling  or circulating mailings or mailing materials; compiling Customer Lists for distribution of promotional material, etc…
